INFORMATION FOR EXHIBITORS AND SPONSORS

1.- LOCATION

The exhibitor hall will be at the Conservatorio Superior de Música de Canarias, C. San Francisco, S/N, 35002 Las Palmas de Gran Canaria.

There will be a limited number of areas of exposure of 20 to 60 m2 and testing rooms reserved for VIP members, sponsors, etc, according to an agreement/contract special. The editors will also have an exhibition space. Areas of exposure of about 4 m2 (can be rented several units of exposure).

2.- DATE AND TIME OF THE EXPOSURE

From 6 to 10 December 2023

December 6, from 9:00 to 19:00 hours

From 7 to 9 December from 9:00 to 19:00 h.

December 10, from 9:00 to 14:00 h.

3.- MOUNTING AND DISMANTLING OF THE EXHIBITION

The exhibition space can be mounted from Tuesday, December 5, from 21:00h to 23:00h and on Wednesday, December 6, from 7:00 to 9:00 pm. The tables and chairs are hired to be located according to exhibition area selected (Premium zone or zone Standard). 

The exhibition space will be free on Sunday, 10 December, no later than 18.00 hours.

4.- CONDITIONS OF PARTICIPATION IN THE EXHIBITION

The deadline for the request of exhibitors will be the 30/9/2023.

The deadline for payments will be the 15/10/2023.

Exhibitors may only display material relating to the Congress (instruments, accessories, sheet music, multimedia, etc) that corresponds to the request.

The exhibitor must specify their objects exposed in the application form.

After the completion of the application, the Organizer will publish the layout of the exhibition space at the main entrance (hall) at the Superior Conservatory of Music of the Canary islands.

To the exhibitors, VIPS, sponsors and partners will be assigned spaces in special conditions of exposure.

All participants in the Congress, artists, exhibitors and other persons accept to be filmed, recorded and photographed in the framework of all the acts of Congress. The organizer shall be entitled to unrestricted use of this material.

Do not allow advertising on the sites of Congress outside of the exhibition space without a special permission from the Organiser.

The display of marketing material in a display inside the exhibition space is permitted if specified in the request, and unless it does not interfere with other exhibitors.

All advertising materials requested on the form (roll up, leaflets, flyers, banners, tarpaulins, etc.) must be provided and submitted by the exhibitor.

5.- DELIVERY OF EXHIBITS IN THE EXHIBITOR

The storage of the material exhibitor will be enabled from 1 October 2023 in the rooms of the Conservatory.

In the package must be clearly identified with the name and the contact details of the sender and of the recipient of the package during the preparation of the exhibition in the Congress.

Packages sent will be stored until you take care of them the authorized recipient to mount the exhibition.

Exhibitors who carry their shows in a vehicle will be given the time and space necessary to the discharge, i.e., the load according to a given schedule.

6.- INSURANCE AND LIABILITY

During the time that it stays open the exhibition, the exhibitors must be present in the exhibition space.

For the duration of the exposure, the security will be present twenty-four hours a day to monitor only the enclosure as a whole.

Exhibitors may, if so requested, keep their belongings during the night in a space predefined locked in the building of the Conservatory of Music of the Canary islands.

Exhibitors VIP with a special room will be able to close it personally.

The Organizer does not accept any responsibility for the goods and/or equipment from the exhibitors damaged or stolen before, during and after the Congress.

Exhibitors will be required to cover the insurance of your goods and/or equipment.

The price for 3 units or more is EUR 200 additional per unit (for example, 1,150 x 3; 1.350 x 4....)

The price for 3 units or more is EUR 200 additional per unit (for example, a 1,700-x 3; 1.900 x 4..)

8.- ENABLED AREAS OF EXPOSURE

You will have 2 designated areas of exposure. PREMIUM area and area STANDARD.

In the PREMIUM area space is limited and will be assigned by order of arrival of the request. The PREMIUM area is located on the 2nd floor (entrance to the Conservatory and access to the main lobby).

The Area STANDARD is located on floor 0 of the building. Courtyard of the Conservatory.

9.- ADVERTISING – PRICES (EXHIBITORS AND SPONSORS)

All special advertising, presentation and display of goods in special rooms, spaces, special test instruments, concerts especially outstanding with artists sponsored, etc.) and other agreements are governed by contracts.

10.- SPONSORED EVENTS

11.- REGISTRATION OF EXHIBITORS and SPONSORS:

Each exhibitor must sign up separately through a registration application form on the official website of the Congress.

12.- CANCELLATION OF PARTICIPATION

In case of cancellation of participation before the 31/10/2023, we will refund the full amount paid, less the administrative costs and bank (30€).

In case of cancellation before 15/11/2023, you will be refunded 50% of the amount paid.

In case of cancellation after the 16/11/2023, we do not refund the amount paid. 

The exhibitor shall bear the costs of returning the material submitted to the Congress.

13.- PAYMENT OF REGISTRATION

The deadline for payments will be the 31/10/2023. Fill in the registration form as an exhibitor and sponsor and we will email it to your id as an exhibitor and the amount to pay. Payments can be made by bank transfer or by credit card. Payment must specify the full name of the participant, exhibitor and its identification code.
